To create a template for a report in SmartSuite, follow these steps.
A report template controls how your report looks when printed. Once a template is created, the report will default to the template view when generated. You can toggle between the template view and raw data view at any time.
- Open the reports module
Click the Menu icon, then select Reports > Reports.
2. Open the report
Open the report you want to create the template for.
3. Open the report for editing
Click the Configure button in the toolbar at the bottom of the window
4. Confirm your result fields
Click on the Result Data tab to check that all the fields you want to display in the template are listed:
- To add a new field, click the + icon.
- To change a field, click the dropdown arrow to the right of the field.
5. Go to the template tab
Click on the Template tab at the top of the report configuration window to being designing the template.
6. Add a report header
Click and drag the Text object onto the editable space to add a header. Hover over the text object to reveal editing options:
Resize handle: Click and drag to resize the text object.
Edit icon: Click to edit the text content.
7. Add a grouping block (if grouping data)
To group results by a field (e.g., year level or homeroom), click and drag the Block object into the editable field. When the grouping options appear, select the field you want to group by and click the + icon next to the grouping block to add it to the template.
8. Add a Results object inside the grouping block
Click and drag the Results object inside the grouping block to display the data fields grouped by your chosen field.
9. Format the results fields
Use the following controls to format your result fields:
+ icon adds new fields to the template
X icon removes fields from the template
2 diagonal corner lines is the resize handle for results. Click and drag to adjust the field width.
Top text field in results is the editable display name for how this data will appear on the printed report.
10. Save the template
Click the Save button in the toolbar at the bottom of the window.
Your template is now created. The next time you generate this report, it will default to the template view. To switch to raw data, select the Results option in the top right-hand corner of your report template.
